How to delete your data.

You can ask us to delete your personal data from The Good Place Clinic at any time. This page explains exactly how, what gets removed, and what we are required to retain under Indian medical-records law.

How to request deletion

Two equally valid options. Pick whichever is easier:

Option 1 - Email

Email hello@thegoodplaceclinic.com from the email address on file with us, with the subject "Data deletion request".

Include: your full name, mobile/WhatsApp number, and (optional) a short note about why you are requesting deletion. We may ask one or two clarifying questions to confirm identity before we process the request.

Option 2 - WhatsApp

WhatsApp us at +91 91363 47247 with the message: "I want to delete my data."

We will confirm receipt within one working day and start the process.

What gets deleted

  • Your patient profile (name, email, phone, demographics).
  • Mood / sleep / tracker entries you logged in the portal.
  • Homework responses and self-reported intake notes.
  • Patient archive files you uploaded.
  • Your account login.
  • Wallet balances and unused package credits (refunded first).
  • Communications history: email and WhatsApp, both the messages we sent you and the ones you sent us.
  • Your WhatsApp conversation transcripts, including voice notes and the text we transcribed them into, and their use for reviewing and training our automated assistant.

If you enquired but never became a client, all we hold is your contact and booking details, and we delete them on request with nothing retained.

You can stop the transcript part on its own without deleting anything else: reply STOP on WhatsApp to withdraw that consent. We then stop using your transcripts for review and training and delete them, except where a legal duty requires us to keep a record. Withdrawing consent does not affect your care.

What we are required to retain

Indian medical-records regulation requires us to keep certain data for fixed retention periods even after deletion is requested. These are the periods our Privacy Notice means when it says we keep client records for as long as professional and legal record-keeping rules require. Read them as minimums, not as dates we delete on:

  • Therapist session notes: at least 7 years from your last session, retained for clinical-records compliance, and de-identified first. When we process your deletion we replace your name with a placeholder and remove your email, phone, date of birth, legal name, address and emergency contact from your profile, and delete your login. The retained notes stay attached to a record that no longer identifies you.
  • One honest limit on that. A therapist’s note is free text, so it can mention your name inside the note itself, and scrubbing your profile does not reach into the body of what was written. We do not remove those automatically. Ask us and we will go through the retained notes by hand. Until then they are held as the Privacy Notice describes: separately, access restricted to your treating therapists, every access logged.
  • Payment and invoice records: for as long as Indian tax law requires, which is what the Privacy Notice says too.
  • Audit logs: retained for security and fraud-detection purposes.

Everything outside those buckets is purged within 30 days of your deletion request.

Being straight with you

We do not yet run an automatic job that deletes these retained records once their period is up, so in practice they can sit longer than the minimum. We would rather say so than imply a deletion that does not happen on its own. If anything of yours is past its period and you want it gone, write to us and we will delete it by hand.

Timeline

  • Within 7 days: we confirm receipt of your request via email + WhatsApp. The Privacy Notice commits to a full response within 30 days; this is the faster acknowledgement we aim for on deletion requests specifically, not a different deadline.
  • Within 30 days: deletable data is purged from our active databases.
  • Within 60 days: deletion propagates through backups (backups roll forward, older backups expire automatically).

Third-party services

When we delete your data from our systems, we also instruct the following processors to delete what they hold about you:

  • Razorpay - payment records (subject to their retention obligations).
  • Meta WhatsApp Business API - phone number and message history we sent you.
  • Brevo - email-delivery logs.
  • Supabase + Neon - underlying database hosting; deletions propagate automatically.

What deletion does NOT do

  • It does not refund completed sessions. Unused package credits + wallet balances are refunded; completed sessions are not.
  • It does not undo or reverse any WhatsApp / email messages that already arrived in your inbox.
  • It does not delete records we are legally required to retain (see "What we are required to retain" above).
