How we handle your personal data.

1. Who we are
The Good Place Clinic (“we”, “us”) is a therapy and counselling practice in Navi Mumbai, also serving clients online. Under the Digital Personal Data Protection Act, 2023 (DPDP Act), we are the Data Fiduciary for the personal data described in this notice. You are the Data Principal.
2. What we collect
When you contact or book with us (website, app, WhatsApp, phone, email): your name, phone number, email, age, preferred session times, and the category of concern you select.
When you are a client: session bookings and attendance, payments and invoices, your intake form, assessments you complete, check-ins and trackers you fill in, and messages you exchange with us. Session notes written by your therapist are held separately under strict access controls and are never shared without your consent, except where the law requires it.
When you message our WhatsApp number: the messages you send and receive, including voice notes, which we convert to text on our own systems. Where our automated assistant handles the conversation, it works only from the options you choose and the messages you type or speak; it does not access your session notes.
Automatically: basic technical information from our website and app (device type, browser, approximate location from your IP address) needed to keep them working and secure.

We do not sell personal data. We do not use it for advertising.
4. Who we share it with
Only with people and services needed to run the clinic: our therapists and client services team; our payment processor (Razorpay) for payments; Meta Platforms for delivering WhatsApp messages; and our hosting and infrastructure providers, whose servers for clinical data are located in India. Each is bound by contract to use the data only for our purposes. We share data with authorities only where the law requires, and we will tell you when we are permitted to.
5. How long we keep it
- Client records: for as long as you are a client and for the period required by professional and legal record-keeping rules thereafter.
- Contact and booking details of people who enquire but do not become clients: until you ask us to delete them.
- WhatsApp conversation transcripts: for as long as your consent stands. If you withdraw consent, we stop using your transcripts for review and training and delete them, except where a legal duty requires us to keep a record.
- Payment and invoice records: as required by tax law.
6. Your rights
Under the DPDP Act you may:
- Access a summary of the personal data we hold about you and how we use it.
- Correct or update it.
- Erase it, where we no longer need it for the purpose you gave it and no law requires us to keep it.
- Withdraw consent at any time. On WhatsApp, reply STOP. Withdrawing consent does not affect your care or anything done before you withdrew.
- Nominate a person to exercise these rights on your behalf if you are unable to.
- Raise a grievance with us, and if you are not satisfied with our response, with the Data Protection Board of India.
To exercise any right, write to hello@thegoodplaceclinic.com with “Privacy request” in the subject line. We aim to respond within 30 days.
7. Children
We provide therapy to people under 18 only with the verifiable consent of a parent or guardian, arranged with our team directly, not through the automated assistant.
8. Security
Data is encrypted in transit and at rest. Access to clinical data is limited to your treating therapists and is logged. Our automated assistant keeps no message content of its own; conversation records are held in the same audited system as your client record.
9. Changes to this notice
We will post any change here with a new date. Where a change affects how we use data you have already given us, we will ask for your consent again.
